(TD& E) is the leading facility specializing in diabetes, thyroid, osteoporosis, weight management, and hormonal conditions in the Central Texas area.

Our Mopac Office is seeking a Phone Operator & Data Entry Coordinator to join our front office team.

The Phone Operator & Data Entry Coordinator is responsible for placing, receiving, and transferring high volume, multi-line customer phone calls.

Routine clerical work includes data entry, proofreading, and documenting customer calls.

This position will also evaluate inquiries and provide the customer with general information as needed.

The Phone Operator & Data Entry Coordinator is cross-trained in Check-In and Check-Out duties and serves as back-up to Check-In and Check-Out staff.

Essential Functions:Follows all established Phone Operator and Scheduling policies and procedures.Answers calls on high-volume, multi-line phone systems; transfers to appropriate personnel and/or department.Assists patients with scheduling appointments.Verifies patient demographics, insurance information, and online pre-registration forms via Phreesia.Populates and imports patient data into Electronic Medical Record (EMR).Routinely checks office voice mail and returns customer phone calls when necessary.Scans and enters patient demographics and medical charts into EMR.Schedules patients for appointments including but not limited to: RVs, injections, injection training, biopsies, ultrasound exams, and CGMS insertions.Makes changes in the patient file to reflect new information such as symptoms and diagnosis.

Initiates a medical records request if needed.When performing Check-In and/or Check-Out duties, follows all established Check-In and Check-Out policies and procedures.

Additional Non-Essential Functions:Assists with answering calls on the nurse or practitioner line.Assists with scheduling patients on the “work-in-list”.Prepares new patient packet, welcome letter, appointment reminder, and map to be mailed out to new patients scheduled within the next week in preparation for their upcoming appointment.Faxes Release of Information (ROIs) for medical records as requested by providers and/or patients.Provides samples to patients as coordinated by Triage Nurse/MA.Acts as back-up for provider schedules as needed.Acts as back up for fax and mail when clinical staff is short-staffed.May be cross-trained in New Patient Scheduler duties.Maintains a clean office area and work station.Assists with other duties as assigned.

Essential knowledge, skills, and abilities:Excellent customer services skills and professionalismWorks well with team members and other departmentsStrong organizational skills; detail-oriented and able to multitask.Active listening and reading comprehensionFamiliarity with Endocrine terminology and common diagnosesAbility to make independent and sound judgementStrong verbal and written communication skills.

Must be able to read and write in the English language.Proficient with Microsoft Outlook, Excel and Word and other computer functionsFamiliarity with money handling; basic math skillsFamiliarity with medical insuranceSkilled in EMR systemsEducation & Experience Requirements:Preferred:At least 2 years of prior experience in a front office or similar role in a medical office environment.

Spanish-speaking abilities.

Billing experience preferred.

Supervisory Responsibilities:None Salary: Depends on Experience.

Position Type/Expected Hours of Work:This is a full-time time position.

Days are scheduled Monday through Friday.

Work hours may vary between the hours of 7:30 am to 5:30 pm, depending on department requirements/manager agreement.

Overtime may be required.
