Job Description & Requirements

The Payroll Tax Specialist will compile, analyze, and document issues on payroll and related fiscal activities to identify systemic issues or problems. The Payroll Tax Specialist will research and respond to payroll inquiries from customers and stakeholders. This position will support internal audits of various payroll areas and prepare materials for

Specific Duties include:

  • Validate employee payroll tax multi-state jurisdictional reports to ensure accurate reporting of wages and taxes
  • Monitor employees tax profile to ensure all payroll tax accounts are setup in each jurisdiction; apply for new accounts if needed
  • Review and reconcile quarterly tax returns and W-2’s to ensure accuracy and timely preparation for year-end closing activities
  • Resolve tax calculation errors during the normal payroll process
  • Responsible for filing weekly, month, and quarterly tax reports for returns not support by ADP Tax & Compliance
  • Prepare various payroll-related schedules and reports to support the needs of the company, as well as for audits and other special projects
  • Maintain periodic, quarterly, and annual reconciliation of liability transmissions to ADP
  • Research and respond to notices from federal, state, and local taxing authorities.
  • Ensure that all tax related updates are fully tested and implemented in payroll systems.
  • Process third party sick pay load for payroll to ensure amounts get included on employees W-2s
  • Process income withholding orders within ADP SmartCompliance
  • Work with ADP WGPS team to ensure withholding orders are setup and provide additional information as requested
  • Resolve garnishment setup calculation errors during normal payroll process and provide manual calculations as needed
  • Assist with research and building reports in ADP as needed
  • Provide special project support as needed

Other Responsibilities:

  • Knowledge of applicable federal, state, and local tax regulations
  • Monitor federal, state, and local legislation changes that may impact payroll tax calculations and the company
  • Review and monitor payroll tax information and returns
  • Work with other departments to ensure accurate reporting of all taxable fringe benefits
  • Develop collaborative relationships with team members, internal and external business partners
  • Escalate inquiries and complaints to ensure quick, equitable, courteous resolution
  • Serve as a backup for unemployment claims by monitoring and delegating inquiries within ADP CaseBuilder portal
  • Serve as a backup for verifications of employment and responses for third party requests

Job Requirements:

Education required:

  • FPC or CPP designation preferred or equivalent combination of education and work experience

Business experience required:

  • 5+ years of high volume and multistate payroll tax experience
  • Ability to maintain the confidentiality of highly sensitive data
  • Strong interpersonal and organizational skills, including the ability to work with minimal supervisor
  • Ability to handle multiple tasks, set priorities, and meet deadlines in a high-volume, fast-paced work environment
  • Excellent attention to details
  • Experience working directly with senior management
  • Self-starter and solid team player
  • Understanding of accounting principles
  • Shared Services experience preferred

Technical Experience:

  • Knowledge of ADP Enterprise V5 and ADPTA systems preferred
  • Proficient in payroll environments with special expertise in
    • Payroll taxes (federal and state)
    • Payroll auditing
    • Familiar with taxable wages, compliance, and payroll related forms.
    • Proficient with Microsoft applications (Word, Outlook, and Excel)
